What are approval workflows?

Approval workflows let you require sign-off before referrals are sent to specific partners or before new partners are added to your network. When a relationship is set as requiring approval, any referrals to that firm must be approved before being sent. Approvers can approve, edit, or reject the request. You can configure: • Referral approvals – require sign-off for referrals to specific partners • Network approvals – require sign-off before team members can add new partners Approvers get notified by email and can also view pending requests in their dashboard.

How do approvers review requests?

When a referral or new partner request needs approval, the designated approvers are notified by email. They can also view all pending requests in the Approval Requests tab in RQ. From there, approvers can: • Approve – the referral is sent or the partner is added • Edit – modify the referral before approving • Reject – block the request with a reason All decisions are logged with timestamps for a full audit trail.

Who can be an approver?

You can designate any team member as an approver. Most firms choose senior staff or partners who have oversight responsibility. Each partner relationship can have its own approvers, so you can tailor who reviews what.

What does the approver see?

The approver receives a clear summary of the referral, including the client, receiving firm, service type, and any disclosures or notes.

What actions can an approver take?

Approvers can approve the referral as-is, edit key details, or reject the referral with a reason.

What happens after a referral is approved?

Once approved, the referral journey continues. If client consent is required, a consent letter is sent to the client first. Otherwise, the referral goes directly to the partner. All actions are logged, so you have a complete record of who approved it and when.

What happens if a referral is rejected?

Rejected referrals are not sent. The decision and reason are recorded for audit purposes.

Are approvals auditable?

Yes. Every approval request, decision, edit, and timestamp is recorded in RQ. This provides a clear audit trail for compliance and internal reviews.
